Description: Currently the submittal view can be confusing to determine which submittal is final and approved. When uploading attachments, i.e., original submittal, approved submittal, etc. all files remain accessible when you mark the Submittal "Closed" and "Public".
We need to create more controls over eliminating how one would access the submittal attachment to download the final and approved copy.
Why: We need this for risk management on our projects. Without controlling the attachment version allowable to be downloaded, we have the risk of a subcontractor or other downloading the incorrect attachment file.
Who benefits: The entire project team would benefit from this update including the GC, Subs, Design Team, Owner, etc.
How to do it: We suggest one of the following methods:
1) Include attachments in the workflow panel on the right side of the submittal screen. Each workflow step would include the attachment associated with the step. Therefore, you would be able to access the approved submittal attachment file at that step.
OR
2) When making the submittal "Public" - allow the Project Editor user to select what file is the approved and final attachment file. This would create controls over only making certain attachment files "Public" when it is marked closed. Thus controlling access to all prior file copies.

Please expedite the implementation of submittal revisions. There are so many errors and work arounds to make the current system work.
Submittal Custom Coversheets are very limited and do not provide all of the fields needed to accurately recap.
We are unable to document on the coversheet who and when the final approval when back to the original subcontractor. This piece of information is HUGE in documentation.
Please review Vista's flow and the fields available coversheets. There needs to be a custom coversheet at each stage of a submittal.

Transmittal back to the subcontractor once it is approved
The 1 sheet option with very limited merge fields does NOT cover all of the important documentation needed in a standard construction process.

How are you guys coming along with this? Seems to have gone dead for a couple of years....
We strongly vote to allow the company to select the default, public or private setting when closing submittals. We would make this a default to Private, then add additional reviewers to specific submittal items as needed.
Good suggestion - I agree we need to have better clarity at all stages of the submittal workflow so everyone knows what attachment they need to Review/Approve/Build from. We're working on this but there are a couple prerequisites.
The first step we're working on is the ability to build a single combined document using the attachments (+cover sheet) on a Submittal, then we want to provide the ability to save a "snapshot" of that combined document as the Submitted/Reviewed/Approved version.
We can then roll up the previous attachments/versions behind the document snapshot that was created during the Review/Approval/Release step so it's the first option for anyone accessing the submittal.
